Comms Meeting Notes 2025-02-02

Questions:
    - what is the current volume of DMs on instagram
    - who is actually interacting with the IG right now
+ synergy between the RC ig and the WG igs (recurring messaging)
    - booking calendar on site
    - freeze date for calendar listing
    - image and copy flow
    - color codes for google calendar
    - buffer / social use via platform vs direct logins

# Where does info for weekly calendar come from?
- 4 signal groups
- instagram
- calendar
- initiating signal DMs

An alternative to this could be setting up a second form to send out to event hosts that prompts them for the event description, hyperlink, flyer etc

Using tally would allow folks to upload their assets & stuff without being logged into a google account

# Types of events (for calendar color-coding+)
- public event, RC-promoted
- public event, not promoted (internal or niche without desire for randos)
- notaflof rental, promoted
- private rental
List may be incomplete.

# What are the current existing workflows for programming bookings
- public: somebody submits a request via the google programming form
- casual/ad-hoc: non-commital/last-minute? people wanna use the space for something but won't be bummed if it gets booked, but doesn't end up on calendar/get promotion.

# Next Action Items

- [ ] set up a tally form to sent out to accepted events to allow them to submit promotional assets write up simple copy to send out to accepted events requsting the event description, url (if any) and flyer, asking them to email to
- [ ] add the booking calendar to the website
- [ ] appscript to push current/upcoming calendar into spreadsheet for cut/paste work on weekly sched

IG DM samples:

- Is tuesday coworking nolonger happening, or whatever it's called haha
- Do you take donations, tons of shopping bags for food pantry
- I saw this movie at spectacle last night and I think you should show it, would you be interested in organizing a screening, perhaps anti-ice fundraiser?

SOP: Weekly Schedule Generation

Current workflow for weekly schedule graphic generation

drawing-7-1783050229.png

To populate the source spreadsheet:

Spreadsheet doc is published as CSV data via special URL.

That CSV data feeds the generation tools at https://ridgewoodcommonsnyc.codeberg.page/tools/ & the site sidebar at https://ridgewoodcommons.nyc

Text Explanation

People reach out to programming via the website form for rentals or programming, or via DMs.

After back and forth re: dates/times/needs/costs, events are placed on calendar. May be a "hold" prior to confirmation.

Calendar is sanitized by a (perl? python?) script that runs on our server, outputs to "booking-calendar". Strips event body, leaves only title. May or may not use a set of #tags in title or body to help manage visibility, not sure.

Flyer maker watches discussion in a variety of groups for stuff that doesn't necessarily flow through programming, like movie screenings and some other stuff.

Copy and graphics for promo come through various groups, or via promotions@

A draft schedule is made fri/sat/sun for next week, submitted to a few groups for feedback/corrections.

Revised graphic is shared to IG coord chat, community announcements chat

Graphic is taken from those groups to post on IG, bluesky

Technical Explanation

The source spreadsheet is automatically published as a CSV. This CSV data is run through a one-page javascript app hosted on codeberg pages. The URL of the CSV source data is set in a config variable within the tool.

The tool itself was vibe-coded (for shame), and has some strange internal hacks and questionable methods (e.g. using HTML canvas to create the 4-up version), but the ability to target elements by DOM hierarchy is actually very useful for making adjustments to the page layout as event density changes week to week - tweaks that could be more difficult in a traditional page layout program.
