##### Connection Statement:

This admin committee will coordinate the technical labor necessary to keep the space functioning, as well as bottom line potential structural improvement projects.

##### Powers &amp; Rights:

Any one of us will have the right to know the key code to enter the space to accomplish whatever work needs to be done, whenever it can be done without interrupting other activities in the space.

##### Responsibilities &amp; Liability:  


All money spent on repairs or improvements will first be approved by the financial committee. No improvements will be made without a proposal being submitted and approved by the spokes council, leaseholders, and whatever other necessary committees. As volunteers we cannot incur the financial burden of the cost of materials or insurance to cover reasonable mistakes. As individuals, who know our capabilities best, we will not take on any task alone that we are not qualified to do properly.

Facilities will coordinate waste management, restocking consumables such as trash bags and TP, will help keep the space clean and free from hazards. All are welcome to join the facilities group chat regardless of prior knowledge or trade skill level, all that is require is the availability and the will to learn.

2508/23 - quiet / work booth door

# Blue quiet / work / isolation / wework booth

#### 08/23/25 

Door was waving around, a bolt had come unscrewed from a threaded hole in the door. Managed to put it back in with adjustable wrench, tightened till the rounded end was in far enough that door slid back inside housing, then unscrewed a bit from the inside so that it won't slide back out. Adjusted weird washer piece to press against door.

Will still likely loosen up again. Maye should be checked on every 6 months or year or something.

# How To Clean the Main Bathroom

There's usually disposable gloves in the black cabinet in the kitchen.</span>

## Monday Night Trash

- Only trash and large objects get collected
- Large objects are rare, but sometimes a pallet will be left near the front door
- All trash must go in bins, please put tied bags in one of three black trash bins 
    - bags should not be more than 50lbs (best estimate/not too heavy)
    - the bins are located to the left of the door when exiting. Usually they're on the basement side-walk entrance (NOTE: the trash bins to the right of the door, in the little fence corral, are for the neighbors not us.)
- Please check trash in both bathrooms and both trash cans in the kitchen 
    - if more than half full please empty bathroom waste bins into kitchen bins
    - please take out bags from kitchen bins if more than half full or just stinky.
- Please check the round 55 gallon trash cans usually found near the pantry shelves and lift.
- All trash cans should get a grey contractor bag from the white red and black "Grainger" box on the silver wire racks left of the front door.
- If bins are chained outside the code should be "beans"

## Thursday Night Trash/Recycling

- Same as above, but recycling also goes out tonight (please take out all trash and recycling)
- Please also empty the metal/glass/plastic bin and the cardboard bin in the kitchen/library area 
    - replacement bags should be either blue or clear and found in the while cabinet by the basement door
- Recycling bags do not need to go in a bin, but there may be bags in the blue bin, so please put bin at the edge of the curb if so.
- All the cardboard near the front door needs to go to the edge of the curb, please

Mr. T is the clear winner so far. Reps are nice, their route schedule lines up with needs, and they're cheap with proof of our umbrella 501c3 status.

# Slow Basement Wall Leaks

Currently we get slow wall leaks, as though walls are "weeping" on NE and SE walls.

NE wall is not shared. Leaks are likely due to grading of soil at building perimeter, or possibly through building wall, either via cracks or bad mortar at some height, or faults at roof via rundown.

SE wall is not shared towards rear portion, and likely has same issue as NE wall.  
SE *is* shared further towards woodward, leaks may be from unmaintained entrance to basement space of neighboring building.

# Backflow Floods

Toilets and sink backflow 1-2x/year, under very heavy, fast rain.

Water floods gym from rear bathroom, rains into basement through floor.

Water floods kitchen from front bathroom, goes as far as 1/2 way across space. When viewed from the basement, tends to "rain" in about a 5-15' radius from location of upstairs water fixtures.

Basement floods soak ceiling, accelerating ceiling sag, and other unknown effects re: rot and pests.

Response in the past has been to snake main drain. Results of this snaking (e.g. was a blockage detected, material removed, etc.) are unknown.

Backflow prevention mechanisms exist:

According to neighbors: 583, 585, and 587 (we are 585) all have issues, not clear if this means slow basement wall leaks or backflow issues.

## Quotes

### Velocity Plumbing &amp; Heating

Check valve materials price ~600, labor ~400.

Valve + new drainage pipe reservoir $8-10k.

Would be installed in portion of drain pipe in stairwell. Check valve alone would sense pressure rise from municipal side and lock, preventing backflow. However, this means that water can't drain from building, so no showers or toilet flushes etc while valve is locked.

There exist alarm systems such that signals can be sent to residents to alert them that valve is locked.

Rainwater collected on the roof would continue to accumulate, and wouldn't have anywhere to drain while valve is locked.

This could be considered a positive move from current status: total floodwater amount would theoretically be less, given that it would be only roof water vs roof + backflow from sewage/wastewater city lines. Also the flood water would be more sanitary.

So even with a $1000 valve, we would still likely flood. To solve issue entirely, plumber suggests running a parallel 5" drainage pipe parallel but higher than existing drain pipe - basically building a reservoir tank into the drainage line.

I'm curious about only installing check valve, and modifying basement floor drains to accept larger flow, directed to 50g barrels in basement, with pump to empty them post-flood, either back into drainage lines (sump) or slowly into floor drains (cheap little peristaltic pump).

# Streamlining Consumables

## Soap

## Garbage Bags

* lp: it would be good to standardize around rectangular rubbermaid slim jims (like we have in the kitchen) but they’re not cheap
* if we stopped moving the garbage cans around the space all the time we would have less recycling in the trash etc. we could label them and find them a home. they are constantly in the way.
* we need to get consensus on if it’s actually bad that the garbage cans are floating around
* buying garbage bags in bulk and getting the smallest bag that makes sense for the can would make the most financial sense
* should we have medium or heavy weight garbage bags
* iris: should we interview working groups about their waste disposal needs
  * dinner & pantries are the waste-generators

# Cleaning Method & Tools

* lp wants to make a cleaning station next to the food pantry cabinet /
  * spray mop w/ a washable head
  * roller mop (sponge mop w/ the ringer built into the mop rather than the bucket)
  * vacuum
  * good dustpan that doesn’t fall over
  * good broom, to be replaced when it gets gnarly
  * labelled spray bottles that describe what they’re intended to be used for
  * and indication/sign that rags are available somewhere else
    * or should there be a separate rag supply
  * paper towels?
* iris: we already have mops & stuff, but it’s true that they’re inconvenient
* lp: string mops are better for large surfaces, but if we want more casual spontaneous cleaning, it’s not going to happen with the string mop because of how much prep it requires
* disagreement over whether we should depend on spontaneous cleaning vs more organized regular cleaning
* mop 1 or 2 times a month but should sweep more easily
* lp: for the basement used to always have a fresh rag on the spray mop and one hanging up to dry
* spray mops break more often

  ## Paths to increased cleanliness
* attaching to more activities & working groups
  * including rentals. make a better space reset plan that’s more specific about how the space should be put back to when it’s over
  * create a one-page pdf that has cleaning instructions & a furniture reset map
  * lp: “making the space more invitational and open is a larger contribution than any individual labor or money that you can contribute to the space“
  * lp: if you a regular user of the space then cleaning the space should be a regular part of their practice in the space
    * should we ask less labor of groups that are already doing intensive altruistic labor (like food pantry vs reading group)
* scheduling (like the rotating bathroom assignment)
  * iris: if the cleaning rotation works for the bathroom, why not the rest of the space?
  * p: we still don’t know if the bathroom cleaning is really working until it goes on longer and we see if the labor doesn’t fall on the same individuals within working groups etc
  * lp: we could have cleaning parties
    * “hey come clean we’ll have pizza” doesn’t sound appealing
    * what can do to actually incentivize people to show up to a cleaning party
  * cleaning after dinner is difficult because people leave and if there’s mopping going on it’s typically at 11pm

* lp wants to buy a laserjet 4000 series printer off ebay. retro workhorse oldschool industria
  * this solves a reliability problem but not a usability problem

Tried with a 12" deep shelf we had, and it's too close to someone using the toilet. 6 or 8" might work, or a wall mounted shelf instead of floor.

##### Monday Night Trash

- Only trash and large objects (wooden pallets, etc)
- All trash must go in bins, please put tied bags in one of three black trash bins 
    - bags should not be more than 50lbs (best estimate/not too heavy)
    - the bins are located to the left of the door when exiting. Usually they're on the basement side-walk entrance
- Please check trash in both bathrooms and both trash cans in the kitchen 
    - if more than half full please empty bathroom waste bins into kitchen bins
    - please take out bags from kitchen bins if more than half full or just stinky.
- Please check the round 55 gallon trash cans usually found near the pantry shelves and pantry fridges.
- All trash cans should get a grey contractor bag from the white red and black "Grainger" box on the silver wire racks left of the front door.

##### Thursday Night Trash &amp; Recycling

- Same as above, with addition of recycling, locations listed at top of page. 
    - Replacement bags should be either blue or clear and found in the white cabinet by the basement door
- Recycling bags can be put directly on curb, but if blue bin has bags in it, please put bin at the edge of the curb.
- All the cardboard near the front door needs to go to the edge of the curb. Cardboard needs to be: bagged or bundled, with tape or twine - neatly stacked inside of a box is not enough, they have said they will not pick it up.

# 2025 Electrical rehab consultation notes

There are ongoing known electrical issues that leaseholders would like to see taken care of during the Woodbine/RC transition period.

Let's collect issues here, and move forward.

### Crisis issues

- Numerous outlets without grounds, reversed polarity, loose contacts, etc
- Outlet falling off wall behind fridges.

### Easy practical upgrades

Upgrades that seem easy or affordable, to be possibly bundled into crisis repair. Ease and cost will be partly guesses until such time as we get a quote and fuller plan.

- Mount 3-switch covered box with lighted switches for frig control.
- New outlet for the lowboy on a dedicated circuit. (may actually be difficult, probably not a crisis though extension cord not ideal like with the other fridges.)
- Gym: one outlet in the corner near the stereo will eliminate one extension cord. The A/C unit can be swapped to a 3' appliance cord. There is also a lamp in the deepest corner of the gym that is on an extension cord. Adding an outlet seems like a lot, not sure what the best solution is apart from properly securing the extension cord it is on to the wall.

### Difficult practical upgrades

Upgrades that seem harder or more expensive, to be possibly bundled into crisis repair. Ease and cost will be partly guesses until such time as we get a quote and fuller plan.

- Are we at the level where we could benefit from a load balancer?
- Is our fridge extension cord setup reasonable?
- Is the big electrical work recently done complete and done well? Any faults, code violations, or bad work?
- Better understanding of how gym fan is wired. (220v? are there 110 lines branched off of it?)
- Possible to have basement lights activated by panel at top of stairs be "dual control" such that if someone turns them off upstairs while people are still in basement, can be turned on in basement?

- Gain better understanding of power routing
    - 3 phase leg balance (if still relevant)
    - Panel -&gt; sub panel routing (identify lines fed from glass sub-panel)
    - Examine three-phase lines running into space (gym fan, switch in center of main space), determine if they can be used to supply 110 lines, determine what 110 lines are already being branched from them.
- Replace worn outlets
    - Resolve faulty outlet issues (map below). Most faults may be resolved by replacing outlet, and the new ground from recent mains upgrade.
- Check for old failure-prone fabric wiring
- Ensure matching breaker/wire ratings.
- Properly re-route bx/armored cable runs (AC, stove) to avoid fire/steam pipes
- Create easier and more reliable/independent pantry frig power management via dedicated lines with clustered switching panel.
- Give kitchen generous dedicated power to avoid conflicts with other space usage, and ability to dependably run all fridges, and operate multiple appliances at once.
- Glass fuse panel
    - Replace glass fuses with breaker-fuses, map lines, label
    - Replace with breaker panel or breaker+splice box?
- Install additional breakers and stub lines to feed basement/basement rear? (110? 220?)
- Install Marks recommended lighting remote option (Lutron?) to create better switch placement for 1st floor light control.
    - Goal is a 2x 3 switch clusters, one set at front door, one set on frame of emergency exit.
- Swap 1st FL 2x4 panels for bi-color dimmable panels, free up existing 7 panels for basement use.
