- Need for financial outline/update: For morale, for strategizing. (~LP)
- A lot of people are just super in the dark, and in the dark narratives take shape. Might be useful to broadcast a general outline of the next few months "tick-tock," demonstrating how it's being planned for, and to that extent, plugging in to related organizing.
- Need for social media strategizing (~LP)
- Coordinated content boosting: e.g. identify events and postings that make sense for people to repost and link.
- Similar for story content: Take advantage of entire org, funnel content from sub-IGs up to main and even out to bluesky/mastadon.
- Cohere around some blurbs/copy.
- Organizational vacancy around this strategizing.
- Need for in space signage (~LP)
- Create larger format, more attractive signage to inform visitors about space and needs. The $ plant is great, but probably should be more "front facing" material, e.g. on actual front door, attached to board by hatch. In longer term, possibly extra-large signage about steel pantry shelving?
- Need for clarification & documentation of spokes and comms structures (~LP)
- The spokes explainer and related info is available, but sometimes long, confusing, or scattered: i.e. the tempo of meetings was recently asked about in comms channels, should be front and center.
- Action idea: wiki hacking meeting, to break up explainer either into pages or more easily navigated sections, triaging info.
- The spokes explainer and related info is available, but sometimes long, confusing, or scattered: i.e. the tempo of meetings was recently asked about in comms channels, should be front and center.
I had just taken some notes the other day on the rc chats that exist. dumping that here: -p
- rc admin collective: day-to-day coordination between admin point people
- rc spokescouncil chat: inter-working group communication. open to WG delegates and bottom-liners
- rc spokescouncil announcements: announcements related to spokescouncil meetings (seems to be more broad now?)
- rc community announcements: announcements for wider community for stuff related to or aligned with the space.
Petty cash:
Dora bottomlining establishment/management
Possible changes to reimbursement form (maybe an option for petty payout?)
Cancelling BK rot Saving $50-100/month
Smaller bags + signage
Gavin wiki login for copy dev campaign style
"Onboarding and comms" hack-day re: signal chats and wiki pages

- Need for comms group (~LP)
- Pipelines matter (Typos, distributed work funneling to centralized recurring task)
- Weekly/bi-monthly $ report? (~LP)
- "Transparency" is more than "It's on the site," it can be pro-active.
- Including stuff like fund-raising and event plans pre-broadcasts events in the context of community vs. service, serves as opportunity for inquiries about helping or collaborating.
- Regularly scheduled tasks can be seen as a burden, but reinforce community engagement, and might helpfully require that multiple people are familiar with more systems and processes.
- "Transparency" is more than "It's on the site," it can be pro-active.
- $ strategy (~LP)
- Status quo is "raise money wherever possible, hope we survive" - it's possible to build a strategy that ties into vision, ethos, and guides future changes. e.g.
- % split: Project could be viewed at % revenue goals: %25 outside rentals, %25 inside rentals (gym, coworking, studio), %50 community support.
- A defined strategy or ideal could help define ethos and strategy of space.
- Plan around success: We need to figure out what happens when we succeed. What next? Replicate? Donate? Capital improvments? (which ones?) Start dedicated operations (gym, pantry?).
- Status quo is "raise money wherever possible, hope we survive" - it's possible to build a strategy that ties into vision, ethos, and guides future changes. e.g.

Agenda things
Funding strategy (~LP)
Seems we need to pick a lane with existing labor pool
- Broad base / small contrib
- Probably most labor intensive but enduring
- Diverse community inspired programming
- Support rationale:
- Tool library
- Merch
- Film developing
- Workshops/etc
- Probably most labor intensive but enduring
- Coworking push/schedule/media & support
- Better promo and program support
- /coworking page to describe program
- Power setup, monitor availability
- Better promo and program support
- Fundraising
- Long-term promo
- Variety
- Production support
google account onboarding (just iris)
Ridgewoodcommons.com -> site forward (so long as we have it)
Library stewardship project check-in
Movies vs open wed for rentals/booking? (Also is programming prepared to host strategic talks like this?)
Site links and QR codes (e.g. /forms /rental / "see site")
Spreadsheet tool for analytics vs automation bc $$ (~LP)
Open these meetings up? Consistent remote setup? (Remote standards)

Community Announcements (~chat)
Re: Call for flood assistance - optics, audience
yesterday i hesitated to put out a request for help on the community announcements chat because i was afraid on the optiics, new people being like wtf is wrong with this building, us maybe looking like we don't have our shit together, but i'm wondering if that's totally wrong headed, and enlisting the aid of the people around us because its only all of us doing or not doing in the first place. like people participate in a community, this one in particular theoretically, because they could potentially help out with any aspect. and new york floods all over the place we're not special
Flood Prep (~chat)
Gym + programming (~chat)
Sharing this from gym here too (already sent to programming/rentals) : Requests from the gym for scheduling events:
- At least one week notice for scheduling WHOLE SPACE events (events that require the gym to be closed)
- We look at the RC google calendar every Monday and block off on our gym calendar if we see an event that says WHOLE SPACE in the title (this is what we did with Woodbine). If the event is up for less than a week before happening, we won't see it
- Prefer WHOLE SPACE events to begin 7pm onward when possible as 5-7pm weekdays are our busiest gym hours that people depend on. Okay if the event starts before 7pm if there's other weeknights open.
optics of posting regarding emergencies, esp re: physical infrastrcture
nature of community chat
rapid response / local group - incorporate into onboarding
Site hosting update? (~LP)
Proposed flyer format (~LP)
1/4 page flyers with week/upcoming and display bin at door
Upcoming sent out on different schedule, or presented differently to avoid confusion.
"Why isn't the weekly schedule in spanish too" from dinner chat. -p
Static translated recurring event calendar with disclaimer.
"Did I pay rent to Woodbine that didn't actually go towards paying the rent" from Jessie -p
from Natalie via Gavin - gym rent increase pending
Foster WG fundraising via having a list of ways in which WGs can host events, co-host existing events, create "stuff" to connect and share with community,
Planning for January fundraiser: Chili Cookoff

Discussion of low-attendance movie nights.
Suggestion to de-prioritize them to make available for programming or rental.
But programming doesn't appear to have many good submissions to fill those Wednesdays.
Need to check in w/movie crew.
This arrangement would depend on closing booking, to allow for schedule to promote screening with minimum 3 days.
e.g. bookings for following wed close on Friday, to allow for Sunday schedule promotion.
Also requires that screening have a "next up" ready to go with screens and copy.

Admin Onboarding
- Unclear if people new to admin work should come to admin meetings
- The meetings are an unreasonable amount of commitment to expect of people
- no, depending on how much they want to be involved.
- what about if someone is running the IG? this isn’t just posting, it seems the majority of the labor is responding to DMs
- can there be a distinction between admin work that requires (crucial) decision making, and work that depends on guidelines
Tempo and Nature of Coordinating Meeting?
-
dora likes the face time, maybe doesn’t need to be as often
-
“what is the governing structure of the space?”
- as we transition from emergency mode to day-to-day operations we need clearer accountability
-
lp: these meetings feel like more work than they need to be
-
shea: maybe we should move to bi-weekly for the next month. things will be slow
- set agenda and serve as a check-in
-
p cm: i think we’re missing check-ins from everyone as it is. if someone doesn’t show up we have no idea how things are going from them and if they need help etc
-
dora: we are in less of an emergency than we were when we started
-
lp: i want more people to contribute to meeting agendas
- this is how people know when to show up
-
dora: what if there was 1 monthly meeting for everyone and the other sundays are focused on other topics
- finance
- fundraising
- comms
-
or
- finance / fundraising
- programming
- comms
-
whatever the specialized admin meeting is happening that week can be announced along with the social posts about sunday dinner
-
lp: what if we had spokes meetings every 6 weeks instead of 4
-
dora: there are frustrations about how empowered spokes is. we are due for a check-in about the space. the town hall
-
lp: that’s a pressure relief valve but doesn’t solve the structural issues we’re dealing with in the space
-
dora: we could mirror the structure of the emergency councils. the first time they were during a period of extreme stress and it was speculative. now we have experience to reflect on. it’s important that people feel empowered in the space to create the systems that they want.
-
lp: are we undervaluing the use of asynchronous comms
- dora: i’m bad at texting
-
iris: we’re not on fire anymore
- p cm: we can’t even really tell because we can’t see our bank account
-
lp: nobody is doing the work to make their roles transferable
- our growth has slowed down. we’re at $2850 gross donations per month
-
lp: does finance have meeting?
- dora: no. we need to
-
lp: it’d be good to have a list of what we want / need from a fiscal sponsor so we can allow people to do their own searches
Platform W9 situation
-
We’re unable to withdraw any money from patreon until we submit a W9 form? maybe
-
what about withfriends. we’re not sure.
-
finance needs to have a meeting so things are less siloed
-
lp: we should have lower tiers than $10.
Comradery
- Should we initiate the application process for https://comradery.co/
- Fees are lower
- Feature set is growing, as cooperative we may have input in platform direction
